Our approach: We collect information needed to operate KSMS, protect accounts, support games and organizations, and maintain authorized sports records. Knubian does not sell personal information. Youth participation must be managed by an authorized parent or legal guardian.
1. Scope and accountability
This Privacy Policy describes how Knubian Inc. (“Knubian,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information through Knubian.net, KSMS, public game viewers, user accounts, support, and related services.
Knubian is responsible for personal information under its control and assigns responsibility for privacy compliance. A school, league, team, club, event organizer, or other organization may separately control information it enters or manages through KSMS. Its own privacy notice and legal duties may also apply.
2. Information we collect
The information depends on how KSMS is used and may include:
- Account and identity: legal name, display name, username, adult email address, password credentials in protected form, date of birth, country, region, city, account type, verification status, and identifiers;
- Organizations and roles: schools, leagues, teams, clubs, memberships, invitations, assigned operator roles, approvals, authority, and account relationships;
- Guardian and youth: guardian identity and contact details, guardian relationships, youth username and display name, date of birth, permissions, roster status, transition status, disputes, and restrictions. KSMS does not require a youth email address for a guardian-managed account;
- Sports and events: rosters, player numbers and positions, schedules, teams, scores, fouls, timeouts, periods, clocks, playing time, statistics, injury or eligibility indicators, notes, operator credits, reports, revisions, approvals, and history;
- Profiles and content: biographies, images, video, links, preferences, discoverability choices, and uploaded or entered content;
- Technical activity: IP address, browser and device details, timestamps, requested pages, referring pages, session, access, security, synchronization, and error events;
- Communications: invitation requests, support messages, reports, feedback, and correspondence; and
- Transactions: membership status, payment method type, billing details, receipts, and transaction identifiers. Electronic payment details may be handled by a third-party payment provider when that option is introduced.
Do not submit unnecessary sensitive information. Authorized organizations and operators must limit entries to information relevant to the sports purpose.
3. How information is collected
We receive information directly from you; from a parent or guardian; from an authorized school, league, team, club, administrator, coach, owner, scorekeeper, statistician, minutes operator, or organizer; automatically from devices using KSMS; and from providers supporting hosting, security, email, content delivery, or payments.
If you provide information about another person, you must have authority to do so and provide any notice or obtain any consent required by law and organizational policy.
4. Why we use information
We use personal information for identified and reasonable purposes, including to:
- create, authenticate, administer, and secure accounts;
- verify adult, guardian, organizational, membership, invitation, and role authority;
- operate scoreboards, clocks, Watch, Projector, rosters, stats, minutes, reports, exports, teams, leagues, and sports history;
- display information according to guardian, user, organization, and event settings;
- process payments and maintain subscription and business records;
- respond to support, correction, dispute, safety, and privacy requests;
- detect unauthorized access, fraud, abuse, data conflicts, service failures, and security threats;
- maintain, troubleshoot, measure, and improve KSMS;
- enforce agreements and protect users, live events, Knubian, and the public; and
- meet legal, accounting, insurance, audit, and regulatory requirements.
We obtain consent where required and otherwise handle information where permitted or required by law. We will seek new consent before a materially different use unless the law permits it without consent.
5. Youth information and guardian control
Minors may not create independent adult accounts. A parent or legally authorized guardian must create and supervise a guardian-managed youth account. Organizations must also satisfy their consent, safeguarding, eligibility, image, streaming, and roster obligations.
KSMS is designed to limit youth information, use youth usernames rather than email addresses, keep profiles private by default, restrict discoverability, and preserve guardian oversight. Public streaming or display of youth information should remain disabled unless the appropriate guardian and organization have authorized it and the activity is lawful.
Guardians may contact us about access, corrections, restrictions, disputed authority, account closure, or transition when a youth becomes an adult. We may verify identity and authority and temporarily restrict changes during a dispute or legal hold.
6. When information is disclosed
We may disclose information:
- to authorized users and organizations according to roles, invitations, memberships, approvals, and visibility settings;
- to providers that host, secure, deliver, support, communicate, analyze, or process payments for KSMS under appropriate protections;
- at your direction or with consent;
- to investigate misuse, enforce agreements, protect safety or rights, or manage legal claims;
- where required or permitted by law or lawful government process; and
- during a proposed or completed financing, merger, reorganization, sale, or transfer of the relevant business, subject to legal safeguards.
Knubian does not sell personal information. Providers may not use information for their own advertising merely because they process it for us.
7. Public and shared sports information
Some KSMS features share live or historical sports information with spectators, recruiters, teams, leagues, or the public. Depending on permissions, this may include team names, player display names, numbers, positions, scores, statistics, game events, operator credits, profile details, images, or video.
Before publication, confirm all required player, guardian, organization, and event permissions. Public information can be copied, recorded, indexed, or redistributed outside Knubian’s control. Removing information from KSMS may not remove independent copies.
8. Cookies, browser storage, offline data, and logs
KSMS may use session cookies, browser storage, service-worker caches, or similar technology to keep users signed in, preserve settings, protect accounts, maintain game state, support offline operation, and measure performance. These technologies may store identifiers, preferences, or operational data on a device.
Blocking required cookies or storage may prevent login, offline use, synchronization, or other core functions. Server and security logs record technical information used to diagnose failures and protect KSMS.
9. Retention and deletion
We retain information only as long as reasonably needed to provide accounts and sports history, maintain accurate game and approval records, resolve disputes, protect security, meet commitments, and satisfy legal, tax, accounting, insurance, and audit requirements.
Retention varies by record. Account closure may not immediately remove information that forms part of an authorized game record, player legacy record, revision history, audit trail, backup, fraud-prevention record, legal hold, or de-identified dataset. When no longer needed, information is deleted, anonymized, or securely disposed of using measures appropriate to its sensitivity.
10. Safeguards and international processing
We use administrative, technical, and physical safeguards appropriate to the sensitivity of information, including role restrictions, authentication, secure transmission, logging, backups, separation of public and private resources, monitoring, and incident response. No internet or storage system can guarantee absolute security.
Providers may process information in Canada, the United States, or other jurisdictions, where it may be subject to local law and lawful access. Knubian remains responsible for information transferred to providers for processing as required by applicable Canadian privacy law.
We investigate and contain suspected privacy or security incidents and notify affected people or regulators where legally required.
11. Your choices and privacy rights
Subject to legal exceptions and identity or authority verification, you may request access to personal information under Knubian’s control, ask how it was used or disclosed, and request correction. You may withdraw consent for future use where consent is the basis for processing, although this may limit features that require the information.
KSMS controls may let you update details, manage visibility, respond to invitations, or change preferences. Corrections to shared or official sports records may require organizational review and preservation of the original entry and correction history.
You may challenge our privacy compliance. We will investigate and respond within a reasonable period. If unresolved, you may have the right to contact the Office of the Privacy Commissioner of Canada or another applicable regulator.
12. Policy changes and privacy contact
We may update this policy when KSMS, legal requirements, security needs, or practices change. We will publish the revised version and provide additional notice or seek consent where required.
